Mission

The College's Administrative Affairs Office seeks to support the academic and administrative offices and departments by providing a safe environment and enabling them to perform their assigned mission.


Goals

The Administrative Affairs Office at the College of Education aims to:
1 - Organize employee affairs administratively and financially in a manner that guarantees their rights and is consistent with the Libyan Labor Law.
2- Provide a safe and advanced work environment for college members to ensure that they perform their work with quality and proficiency.
3- Maintain the honor and dignity of the profession and adhere to its ethics.
4- Raise the level of administrative work within the college.
5- Provide the best services to college members.
It supervises the following departments:
A. Administrative Affairs and Services Department
It is responsible for the following responsibilities:
1. Implementing visit programs and parties organized by the college on various occasions.
2. Carrying out guarding and preserving property within the college buildings.
3. Informing the university of the college's needs for maintenance work on buildings, facilities, equipment and furniture.
4. Supervising the use of college cars.
5. Supervising cleaning work at the college and general services work.
6. Supervising the college's cafeteria.
7. Identifying the college's needs for manpower from employees and producers and notifying the university of them.
8. Maintaining sub-files for employees and producers.
9. Take measures to grant achievements of all kinds and notify the college thereof.
10 Take measures to transfer employees and producers for treatment.
11 Notify the college of annual reports on employees and producers.
12 Monitor the attendance and departure of employees and producers according to the rules decided by the college
13 Distribute employees and producers to the college management units after the approval of the college dean
14 Inform the college management of violations committed by employees and producers
15 Express an opinion regarding the transfer, secondment and loan of employees and producers of the college.
16 Take measures to hand over work to new employees and workers and release those who have finished their work at the college.
17 Prepare data and statistics on employees and workers
18 Perform printing, scanning and photocopying work.
19 Deliver mail and correspondence received by the college and record them in the incoming books and deliver them to the competent authorities.
20 Delivering correspondence issued by the college's departments after recording it in the outgoing registers
21 Keeping copies of correspondence in the files designated for them
22 Following up on the procedures taken regarding incoming correspondence
23 Carrying out reception and inquiries for visitors to the college administration
24 Providing all services to the college's employees in accordance with the provisions of Law No. ((19)) of 1428 AH referred to, and its executive regulations
25 Providing reception services for college guests, organizing and arranging their meetings and meeting them with officials
26 Completing hotel reservation procedures and airport reception for faculty members and employees of the college
27 Taking residency procedures, granting exit visas and booking travel tickets for faculty members and employees of the college
28 Preparing study plans and programs for all college buildings and facilities in coordination with the relevant organizational divisions and implementing them
29 Organizing the movement of college vehicles, keeping records and files related to them, and undertaking the necessary maintenance work for them, permits for their use, dispensing fuel and oils, etc.
30 Carrying out the necessary maintenance work for buildings and their equipment and following up on their registration
31. Holding the necessary celebrations on religious, national and national occasions.
32. Activating and strengthening brotherhood and friendship among the college employees by holding parties and organizing recreational trips
and sports and social activities for employees and their families.
33 Organizing the participation of the college and its employees in tree planting and cleaning campaigns, and other social activities and celebrations

34 Coordinating and organizing participation in cultural and scientific exhibitions, and highlighting the activity of the college and its various departments

It has the Financial Affairs and Stores Department
It is responsible for the following responsibilities:
1 Preparing and disbursing salaries and benefits for employees
2 Participating in periodic, surprise and annual inventory work
3 Preparing annual estimates of the college's needs for operating materials necessary for laboratories, devices, tools, furniture
and stationery that the college needs, and setting their technical specifications in the hands of specialists in the college.
Undertake the purchasing and selling procedures as stipulated in the financial results, examine the purchases and ensure their compliance with the specifications specified in the purchase contracts and take the necessary measures regarding any defects or violations.

5 Prepare the documents related to the purchases and complete them according to the regulations and instructions and refer them to the college party to disburse them according to the regulations and instructions.

Participate in the work of the committees and work teams related to the unit’s activity.

7 Keep Moroccan records and books and make the necessary entries on a regular basis, keep item cards and record the supplied and disbursed items.

8 Ensure that all security and safety procedures and requirements are available in the warehouses.

9 Take all measures that ensure the availability of appropriate inventory, and re-order materials and items upon receipt of their inventory to the extent of re-ordering.

10 Conduct periodic, effective and annual inventory work of the warehouses and take the necessary measures regarding any shortage or increase in accordance with the applicable legislation.

11 Participate in the work of the committees and work teams related to the administration’s activity.
12 Preparing periodic and annual follow-up reports on the unit’s activity
13 Maintaining the college’s petty cash advance account
14 Carrying out various disbursement activities within the limits of regulations and instructions
15 Collecting revenues and fees for the college
16 Receiving and documenting curriculum and reference books and selling them according to financial receipts from the college treasury.
